The Office of Public Relations & Marketing is responsible for the publicity and promotion of the College and its activities. All promotional advertising, publications, and contacts with the print, broadcast, or online news media must be cleared through this office.

Contact with Media

Any College employee who receives a request for College-related information from the print, broadcast, or online news media shall forward the request to the Office of Public Relations & Marketing immediately. Only spokespersons representing the Office of Public Relations & Marketing and the Office of the President are authorized to provide College-related information to the media. Exceptions to this policy may be made only at the discretion of these offices.

Official Logo

Any use of the official College logo must be approved by the Office of Public Relations & Marketing.

Advertising

All advertising of Penn College programs and services through print, broadcast, or online news media (newspaper, magazine, radio, television, specialty/trade publications, billboards/outdoor promotion, websites, etc.) must be approved by the Office of Public Relations & Marketing. A process to evaluate the purpose, content, presentation, and cost of advertising is in place to evaluate all requests.

Publishing and Distributing College Information

Any online or printed messages and material to be distributed off-campus for the purpose of information and/or promotion must be approved by the office of Public Relations & Marketing. This includes materials published by any method: website, desktop and office printers, central duplicating, in-house printing production, or commercial vendor printing. A process to evaluate the purpose, content, presentation, and cost of publishing and distributing messages and materials is in place to evaluate all requests.

Registered Trademarks

A number of words and phrases used to promote Penn College programs and services are covered by federal trademark registration. Guidelines to properly give notice of that registration, which are published by the Office of Public Relations & Marketing, must be followed.

Noncompliance: Remedies

Repeated failure to comply with the procedures for contact with the media, use of the official logo, advertising, publishing and distributing College information, or registered trademarks may result in loss of privileges/reassignment of duties related to these functions and/or disciplinary action.
