Athletic Department Work-Study Responsibilities and Procedures
Scheduled Hours
- Intramural work-study students are hired through the Athletic Department. You may be asked to perform duties in other areas of the campus, such as preparing College mailings, stuffing envelops, hanging posters, and other non-intramural activity jobs.
- You must report on time, particularly if you are going to:
- officiate
- keep score
- run the clock
- supervise
- Schedules will be made around your class schedule.
- Each person will be scheduled for as many hours as possible.
- Scheduled hours are subject to change.
- You may not make up missed time unless it is approved by the Intramural Supervisor.
- Notification to the Intramural Supervisor is required in advance if you need a day off or need to leave early, so that we can schedule someone else for those hours.
- You will not be scheduled for work unless there is work to be done, and you may be asked to sign out early if all work is completed.
Stay busy, show initiative by cleaning, actively supervising and doing what is asked to get scheduled hours in.
Time Sheets
- Time sheets are your responsibility.
- Time sheets must be filled in and signed by your supervisor each day you work.
- Time sheets are available in the Financial Aid Office
- Completed time sheets must be taken to the Financial Aid Office at the end of each pay period, for processing.
- Information must be complete and correct, or you could risk not being paid.
- You will not be paid when practicing with an Athletic Team, or if you decide to leave for a break.
Rules and Responsibilities
- Phones are for Intramural business, not social calls.
- You may be asked to go out and help with football, softball, or other areas of need.
- Supervising one person is just as important as supervising twenty people. The Field House must be staffed during open hours.
- Officiating games is a big part of this position. You will be required to attend a short officiating clinic prior to the beginning of each sport to familiarize yourself with rules, scoring, timing, positioning, and all other aspects.
Medical Care and Emergencies
- Minimal first aid care is provided by our staff. Injuries requiring more than an adhesive bandage are to be referred to the Health Services Office with proper documentation. If help is needed contact Campus Police.

Front/Equipment Desk
- This area must be staffed at all times.
- Check all Penn College IDs, and be friendly and polite.
- All Field House participants must have a valid Penn College ID card. If they do not have an ID, politely ask them to leave. If they do not leave contact Campus Police.
- Sign-In Sheet: Make sure everyone:
- signs in
- records their Penn College ID number
- records their major
- records their time
- You must keep a participant's Penn College ID card if they want to use the equipment (balls, table tennis paddles, etc.)
- Participants must return equipment before you can return their Penn College ID card.
- Keep participation tallies and track usage charts correctly.
- Make sure that rosters and score sheets are ready for events.
- Make sure that outdoor volleyball, football, and softball fields are ready for use.
Closing Procedures
- Put all equipment accounted for in the office.
- List compiled:
- Total Participation Sheets
- Time Usage Charts
- Perform area checks to make sure gym is empty.
- Lights out in:
- gym
- locker rooms
- lavatories
- hallways
- mezzanine area
- Make sure first floor stairwell doors are closed.
- Take volleyball nets down, when needed.
- Put basketball stands away, when needed.
- Close dividing blue wall every night.
- Clean the Field House before you leave each night.
- Check showers: make sure they are turned off.
- Do not take down our put away the basketball standards without a supervisor's permission.
